Adding Changes to a Change Order

The Changes link is used to enter change tasks only if proposed change approval is not required. From this folder, the change owner can assign documents slated for change, instructions for the changes needed, and identify who within the organization should complete the changes. Once changes are added, the change owner must route the changes for completion.

  1. From the Change Order record, in the change order tree on the left side of the record, click the Changes link.
    Result: The Changes window is displayed.
  2. Click Action > Add.
  3. Enter information in the following fields:
Field Description

Change Type

Click the drop down arrow and select the change type:

  • REVISE - Select this type if a new revision must be created for the original document that is selected below.
  • NEW - Select this type if a brand new document must be created and checked into the system.
  • EXPIRE - Select this type if the original document selected below will be expired later.
  • DEVIATION - Select deviation if a temporary change must be attached to the original document selected below.

Original Document Number

Zoom to select the document to be changed.

Document Revision

Zoom to select the revision of the document to be changed.

Role

Zoom to select the role for the person assigned to make the change to this document. For additional information on configuration, see Roles.

Owner Code

Zoom to select the person assigned to make the change to this document. For additional information on configuration, see Users.

Review Option

Click the drop down arrow and select the review option for the change:

  • Document - If this option is selected, the Final Change Review is handled in the Document record and will transfer approval notes to the Final Change Review in the Change Order record.
  • Change Order - If this option is selected, the Final Change Review is handled in the Change Order record and will transfer approval notes to the document review in the Document record
  • Mix - If this option is selected, the review must be performed first in the Document record, then it must also be performed in the Change Order record.
Auto Close

The Auto Close option behaves differently depending on the review option selected. If the following review option is selected and Auto Close is enabled:

  • Document - The change order task automatically closes once the approval is completed in the document and automatically pushes the change order status to PRERELEASED. Enable Auto Close when Document is the review type if you do not need to perform any more work in the change order once the document approval is complete.
  • Change Order - The change order task MUST be closed manually by the task owner in order to trigger the final change review in the change order to be routed. Do not enable Auto Close if Change Order is the review option selected.
  • Mix - The change order task automatically closes once the approval is completed in the document and automatically pushes the change order to Final Change Review. Enable Auto Close when Document is the review type if you do not need to perform any more work in the change order once the document approval is complete prior to Final Change Review.
Date Option

Click the drop down arrow and select the appropriate date option:

  • Change Order - If this option is selected, the change order will use the Change Order Effective Date to release the changes on the attached document, not the document specific Effective Date or Expiration Date (if EXPIRE).
  • Document - If this option is selected, the change order will use the Document Effective Date or Expiration Date (if EXPIRE) to release the changes, not the Change Order Effective Date.

Description

Enter a detailed description of what needs to done to make the change.

  1. Click the Save button.
    Result: The change has been added to the Change Order record.
